Clubhouse Usage Rules

The clubhouse is for the enjoyment of the members of The Cottages at Homeowner’s Association.

The clubhouse may be reserved by completing and submitting the reservation form and use fee to the Property Manager.

Owners must be in good standing and current on all assessments and fees with HOA to reserve.

An owner must be present at all times and responsible for the behavior of those in attendance.

The use of the clubhouse and the adjacent areas shall not be used for any activity that would be intrusive to the neighbors.

Smoking is not permitted within the clubhouse.

Renters are responsible to the HOA for any loss or damage to the clubhouse, adjacent areas, furniture, fixtures, or appliances caused by themselves or their guests.

Commercial use of the clubhouse is prohibited.

Normal use hours may be between 8:00 a.m. and 11:00 p.m. Exceptions may be granted upon request for special situations.

Any decorations must be approved by Property Manager. Nothing shall be affixed to any surface within the clubhouse, including windows, doors, walls and ceiling. The use of scotch tape or anything that leaves a sticky residue is prohibited. Candles or open flames are prohibited.

Tables are to be covered to protect the surface from damage.

Drinks that contain dye or food coloring are not permitted.

After use renter agrees to do the following:

Remove trash from area, discard in trash container.

Wipe clean all counters.

Clean restrooms, including sinks and toilets.
-
Vacuum carpet and floors.
-
Set thermostat to 65° during winter, 78° during summer.

Turn off fireplace.

Clean and return all folding furniture and tables to proper locations.

Turn off overhead lights.
-
Lock all doors.

Failure to leave the clubhouse in order and cleaned will result in an assessment for the cost to clean at the rate of $25.00 per hour, such assessment being due within 10 days of notice.

Failure to return key will result in a fee of $150.00 to cover all lock changes and key replacements.
Clubhouse Reservations
Please double check your web portal’s calendar for availability. The clubhouse in your community is available on a first come, first served basis for homeowners in good standing.
To reserve the clubhouse please follow the instructions below. You will receive a confirmation email 24-48 business hrs after your request has been submitted. Once approved your event will be placed on the calendar on your web portal. Please note that just calling or emailing us to see if the date is available does not confirm your reservation. You must fill out the form below and we must receive payment before your reservation is confirmed.
If you do not get a confirmation please email the association at hoahelp@amres.co.
There is a $200.00 (refundable) deposit plus a $25.00 fee to the HOA for a 3 hour block of time. The time reserved includes your setup, take down, and cleaning time.
To Reserve the Clubhouse
To reserve the clubhouse, please select whether you are a Homeowner or a Renter. Please follow the instructions.
Homeowner
Homeowners will need to log into their web portal at portal.amres.co/?c=0CFH to make a clubhouse reservation request. If you have any questions about your web portal, or how to login, please reach out to our office at 801-235-7368 or email us at hoahelp@amres.co.
Once you are logged into your web portal go to the "My Items" tab located in the left sidebar. Click on "Submit a Request" and then select "Reservation Request." Fill out the form located on this page. You will receive a confirmation email 24-48 business hrs after your request has been submitted. If you do not get a confirmation please email us at hoahelp@amres.co.
The clubhouse in your community is available on a first come, first served basis for homeowners in good standing.
Renter
For renters interested in booking the clubhouse, please CLICK HERE to access the reservation form. After submitting the form, expect a confirmation email within 24-48 business hours. In case you don't receive it, kindly contact the association at hoahelp@amres.co.
Remember, the clubhouse is allocated based on a first-come, first-served policy.
Cancel a Reservation
To cancel a reservation, please email us at hoahelp@amres.co with your name, property address, community name, and the date of your reservation. Please cancel at least 3 days prior to the reservation date for regular dates and 7 days in advance for Holidays.
